Position Overview
Metro Transit is seeking four talented administrative specialists to join our Operations team to support the processing of FMLA/KCFML and Workers Comp FMLA.

The positions will report to the Superintendent of Planning and Technical Support in the Operations Section and be located in King Street Center. Accurate attention to detail and maintenance of a high level of confidentiality are critical in these positions.

In addition to assisting with other general administrative duties, these positions will be the contact point for FMLA related issues, maintain FMLA processes and tracking, update reports, and distribute FMLA response and other employee communications documents. Work will include updating databases, checking employee eligibility for FMLA/KCFML by running an eligibility and usage query, checking for FMLA qualifying reasons, and consulting with Transit Disability Services or Transit Chiefs as needed for direction.This work requires complicated calculations based onthe last 12 months, the coming 12 months, and accruals balances.

Work schedule
These positions are non-exempt from FLSA and therefore are eligible for overtime if scheduled. Work hours are between 8:00 a.m. ? 4:30 p.m. Monday through Friday, or as approved by supervisor.

Job Duties

  • Track and process FMLA/KCFML usage, time balances, eligibility and documentation.
  • Track and record attendance and miss records; maintain disciplinary action records as required in compliance with negotiated labor agreements; safeguard and process confidential information relating to terminations, discipline, drug testing and other personnel actions.
  • Serve as a primary point of contact for staff with questions on County and Transit Division policies, procedures and processes regarding leave.
  • Disseminate information on changing policies, processes and procedures.
  • Coordinate and track both internal and external staff training.
  • Coordinate and builds relationships with internal and external customers to ensure continued efficiencies and growth.
  • Create and maintain a variety of documents, spreadsheets, databases and reports for specialized information.
  • Research, analyze, and evaluate technical information relating to assigned Operations department; interpret and provide management with information based on data collection, analysis and reporting functions to facilitate rebuilding and purchasing decisions.
  • Processes proprietary and sensitive information.
  • Produce Monthly Base Key Performance Indicators Reports.
  • Develop and maintain internal tracking databases or spreadsheets to monitor active projects, contracts, purchase agreements, or other specific departmental information.
  • Perform payroll and timekeeper functions, ensuring timely and accurate payroll processing based on employee FMLA pay options request form as well as ensure that HASTUS has calculated guaranteed hours correctly.
  • Maintain electronic and paper base/training files for Operations superintendents, chiefs and base personnel.
  • Completes personnel related documents such as position requisitions, personnel changes and special duty request forms for submittal to Transit Human Resources.
  • Maintain and store Operations records in accordance with the King County Records Policies.
  • Perform other duties as assigned.
Experience, Qualifications, Knowledge, Skills

Three years of increasingly responsible office or administrative support experience; including two years of independent administrative responsibility for a group or team of professional, technical or management staff OR any equivalent combination of experience and education that provides the skills, knowledge and abilities necessary to perform the job. Other qualifications include:

  • Experience and proficiency with MS Office Suite products including word processing, spreadsheet, graphics, database, e-mail and scheduling software.
  • Ability to maintain strict confidentiality in the handling of confidential, proprietary and sensitive data and information involving matters internal to Metro as well as external matters involving supplier, contractors and vendors.
  • Strong oral and written communication skills.
  • Analytical, troubleshooting and problem solving skills.
  • Mathematical proficiencies, including hour to decimal conversions.
  • Demonstrated skills in development and production of a wide range of written materials.
  • Demonstrated ability to draft, proofread, edit, compile and finalize official and technical documents for managers, other decision-makers and the public.
  • Demonstrated ability to be detail-oriented, organized, and use initiative to solve problems.
  • Skill in conducting research on a specific work assignment.

  • Experience with ORACLE, or similar, financial and procurement software.

King County offers a highly-competitive compensation and benefits package to all eligible employees. Non-represented employees and employees in certain bargaining units will receive this benefit as a payment to a VEBA account, which pays for post-retirement health benefits on a pre-tax basis.
